Executive Administrative & Marketing Assistant
Job Overview
We are seeking a highly organized and proactive Executive Administrative & Marketing Coordinator to support a consulting firm and its Head of Marketing/Chair. This role combines administrative, marketing, and bookkeeping responsibilities, ensuring smooth daily operations and effective communication.
The ideal candidate will assist with email marketing initiatives, financial tracking, executive scheduling, and travel coordination. This position may also provide similar support to an affiliated executive onboarding company.
This role requires someone who is detail-oriented, resourceful, and comfortable supporting senior leadership, particularly individuals at the CEO level.
Key Responsibilities
Marketing & Communications
Draft, schedule, and manage weekly email marketing campaigns
Manage social media posting and support inbox communications
Assist with basic marketing coordination and campaign execution
Administrative Support
Manage executive calendars, meetings, and appointment coordination
Schedule calls and ensure timely follow-ups
Coordinate travel planning and logistics involving multiple stakeholders
Track agreements and maintain organized documentation
Financial & Bookkeeping Support
Perform administrative-level bookkeeping using QuickBooks Online
Send billing statements, invoices, and payment reminders
Track invoices, payments, and financial records
Qualifications
Previous experience supporting CEOs or senior executives required
Experience with QuickBooks Online or similar bookkeeping software
Strong organizational and time-management skills
Experience with email marketing tools and social media platforms
Excellent communication and coordination abilities
Advanced English proficiency (written and spoken)
