This role is essential in ensuring that daily tasks are managed efficiently and that our operational processes run smoothly. As the right-hand person to the Director, you will help monitor crew activities, manage client communications, and handle administrative tasks to keep the business organized and effective.
The ideal candidate is proactive, organized, and eager to learn, with strong communication skills and the ability to work independently. You will play a crucial role in coordinating with our crew, maintaining client satisfaction, and supporting the Director in day-to-day operations.

This role is essential in ensuring that daily tasks are managed efficiently and that our operational processes run smoothly. As the right-hand person to the Director, you will help monitor crew activities, manage client communications, and handle administrative tasks to keep the business organized and effective.

Key Responsibilities:
1. Daily Operations and Crew Monitoring:
- Monitor daily crew activities via WhatsApp to ensure timely updates and photo submissions of completed jobs.
- Cross-check completed properties with the planned schedule to verify task completion.
- Identify any discrepancies or issues and promptly report them to the Director of Operations.
- Follow up with the crew regarding any incomplete or problematic tasks.
- Answer incoming calls and messages from clients and potential leads professionally.
- Accurately record client inquiries, feedback, or complaints and relay this information to the Director.
- Assist in drafting and sending quotes based on client requests.
- Maintain follow-up communications to convert leads into confirmed clients.
- Notify clients about upcoming maintenance visits to ensure clear communication.
- Use our route optimization application to plan and update daily and weekly routes.
- Adjust schedules as needed when new properties are added or changes occur.
- Communicate route updates efficiently to the crew.
- Monitor route efficiency and suggest improvements to reduce travel time.
- Maintain daily communication with subcontractors to ensure they meet service quality and deadlines.
- Identify potential new subcontractors, evaluate their work, and report findings to the Director.
- Participate in landscaping community groups (e.g., Facebook) to scout for subcontracting opportunities and route sales.
- Keep detailed records of subcontractor performance and contract compliance.
- Conduct research to identify new potential clients and communities where landscaping services may be needed.
- Map different areas in Orlando to understand community needs and opportunities for service expansion.
- Investigate opportunities to purchase existing landscaping routes from other businesses.
- Report findings to the Director and assist in formulating strategies to approach new clients or acquire routes.
- Assist in sourcing landscaping equipment and supplies on platforms like Facebook Marketplace.
- Collect, organize, and track daily expense receipts.
- Support the Director with other administrative tasks as required.
- Help maintain a structured record of expenses to support financial reporting.
Qualifications:
- Language: Fluent in both English and Spanish (written and spoken).
- Experience: Previous experience in operations support or customer service is a plus.
- Technical Skills: Proficiency with WhatsApp, Canva. Familiarity with basic office software (e.g., Microsoft Office).
- Communication: Clear and professional communication skills, both on the phone and online.
- Organizational Skills: Ability to manage multiple tasks simultaneously and maintain accurate records.
- Problem-Solving: Quick to identify issues and find practical solutions.
- Independence: Ability to work with minimal supervision and take initiative when needed.
- Adaptability: Willingness to learn new tasks and adapt to changing priorities.
